Your trust matters. This Privacy Policy explains what information Vantara collects, how we use and protect it, how long we keep it, and the choices and rights you have. It applies to everyone who uses Vantara, including applicants, recruiters, companies, and agencies.
01Information we collect
We collect information you provide directly when you create an account, build a profile, apply to opportunities, or communicate on the platform. This includes your name, email address, phone number (if provided), password, and account type (applicant, recruiter, company, or agency).
We collect profile details you choose to add, such as work history, skills, locations served, industries, endorsements, recommendations, and any photos, resumes, videos, or documents you upload.
We automatically collect limited technical and usage information — such as device type, browser, IP address, pages viewed, and actions taken — to keep the platform secure, prevent abuse, and improve the experience.
02User accounts
When you register, we store your credentials and account settings so you can sign in securely and manage your presence on the network. Passwords are stored using industry-standard hashing and are never visible to us in plain text.
You are responsible for keeping your login credentials confidential and for all activity that occurs under your account.
03Public profiles
Vantara is a professional network, so certain profile information is intentionally public or visible to other members. This may include your name, headline, work history, skills, locations, industries, endorsements, and verification status.
You control much of what appears on your profile and can edit or remove most details at any time from your settings. Information you choose to publish may be viewed by other members, companies, agencies, and, where applicable, visitors who are not logged in.
04Uploaded files and documents
When you upload resumes, images, videos, or other documents, they are stored using our secure cloud storage so they can be displayed on your profile or shared in conversations as you intend.
Files attached to your public profile may be visible to other members. Files shared inside private conversations are accessible to the participants of that conversation. You can delete uploaded files from your account, and we remove them from active systems following the retention practices described below.
05Messaging and communications
Vantara includes a built-in messaging system for recruiting, deployment, and team coordination. We store the content of your messages, including attachments, so conversations remain available to participants across sessions and devices.
Messages are accessible to the participants of each conversation and to our systems as needed to operate, secure, and moderate the platform. Do not share sensitive personal or financial information through messaging.
06Cookies and analytics
We use cookies and similar technologies to keep you signed in, remember your preferences, and understand how the platform is used. Essential cookies are required for the platform to function.
We may use privacy-conscious analytics to measure aggregate usage and improve features. You can manage non-essential cookies through the consent banner shown on your first visit and through your browser settings. Disabling some cookies may affect functionality.
07How we use your information
We use your information to operate the recruiting network — creating accounts, displaying profiles and job postings, matching reps with companies and agencies, enabling messaging, and powering deployment and dashboard features.
We also use information to maintain security, prevent fraud and abuse, provide support, communicate important updates, and improve the platform.
We do not sell your personal information.
08How we share information
Profile information you choose to publish is visible to other members and, where applicable, the public.
We share data with trusted service providers (such as cloud hosting, storage, and analytics vendors) only as needed to operate the platform, and under obligations to protect your information.
We may disclose information when required by law, to enforce our terms, or to protect the rights, safety, and security of our users and the platform.
09Data retention
We retain your information for as long as your account is active or as needed to provide the service. Public profile content remains visible while your account is active.
When you delete content or close your account, we remove or de-identify your personal information from active systems within a reasonable period, except where we are required to retain certain records for legal, security, or legitimate business purposes. Backups are purged on a rolling basis.
10Data security
We use technical and organizational safeguards — including encryption in transit, access controls, and row-level security on our database — to protect your information. No system is perfectly secure, so we encourage you to use a strong, unique password and to report any suspicious activity.
11Your rights and choices
You can review and update most of your profile information at any time from your settings, and you can control what appears on your public profile.
Depending on your location, you may have the right to access, correct, export, or delete your personal information, and to object to or restrict certain processing. To exercise these rights, or to request deletion of your account, contact us through our contact page.
12Children's privacy
Vantara is intended for use by adults in a professional capacity and is not directed to individuals under 18. We do not knowingly collect personal information from children.
13Changes to this policy
We may update this Privacy Policy as the platform evolves. When we make material changes, we will update the date above and, where appropriate, provide additional notice.
